ECC Meeting Minutes
September 19, 2024
ECC Members Attending: Dave Vanness, Dave McCoy, Nick Conner, Shari Berry, and Ed Stukas.

Completed Tasks
- Dave Vanness will be leaving the ECC as of October 2024.
- Weed mats have been removed.
- Tennis Courts
- Pickleball stripping was completed by residents for $40. Contractor estimates were $700.
Upcoming Tasks
- Weed mats
- Weed mats may have to be replaced in a couple years. They are over a decade old.
- ECC will obtain estimate for replacement.
- Tennis Courts
- There is a crack that runs down the center of the courts. Should be repaired soon to avoid larger maintenance issues. Resident may be able to complete the repair to reduce costs. Discuss at annual meeting.
- Shoreline Invasive Species Management – ECC evaluating new contractor. Details at annual meeting.
- ECC proposes to increase Radek pay by $2.00 per hour effective January 1, 2025.
- Radek
- Sign by Cambridge Court needs to be repaired.
- Need new limb lopper.
- Rent a brush cutter to cut rain garden.
- ECC to look at purchasing a used rototiller to help Radek maintain beaches. Estimated cost $150.
- Playgrounds
- Need to place sand at playground so it meets minimum height requirement for the base of the equipment.
- Remove buoys at beaches.
- Remove nets in tennis and volleyball courts.
- Make decision on shoreline pruning based on budget and annual meeting discussion.
- Evaluate Tudor Oaks farm field improvement project as details are made available.
Maintenance
- Legacy Landscaping
- Mowing completed weekly.
- Ask Legacy to mow 12 inches on the lake side of the path.
- Some issue with inconsistent cutting lengths and mulch left on south hill.
- Shoreline pruning – evaluate budget after annual meeting to decide if pruning is feasible this year.
- Prune half the shoreline every year to reduce annual cost?
- Discuss burning the shoreline to reduce maintenance costs at the annual meeting. Obtain cost to burn shoreline before annual meeting.
- Mowing completed weekly.
- Nellen Tree Service
- Tree removal and pruning scheduled on 9/23/24. Includes the following:
- Removal of boxelders hanging over shed.
- Pruning of boxelders hanging over tennis courts.
- Removal of Austrian Pine in Canterbury Court. Needles clog storm sewer and lead to path erosion.
- Pruning of Maple tree by west beach to provide more sun in the afternoon.
- Tree removal and pruning scheduled on 9/23/24. Includes the following:
- Aquatic Biologists
- Budgeted two beach treatments 2024. The first round was in June. Did not need second treatment.
- Chemical treatment of weeds outside of beach and boat areas was determined not to be feasible due to wind, depth and size of treatment area.
- Aquatic Biologists proposes to manually cut the weeds outside the boat and beach areas twice a year, or as needed, when they come to treat the beaches and boat areas.
- Milfoil treatment evaluation – ongoing.
- Marek Landscaping
- Two invasive species treatments in 2024.
- First treatment was completed in June. Second treatment will be completed in September.
- Radek focus September through November
- Continue to keep beaches clean (rake, remove any algae piles, etc).
- Remove shagbark hickory tree in rock wall on southwest corner of the lake.
- Maintain flower beds (throughout community) and rain garden with emphasis on:
- Weeding.
- Maintenance. this includes:
- Thinning flower beds.
- Transplanting flowers to other beds.
- Transplanting flowers to shoreline in areas that are currently bare.
- Weed playground areas.
- Edge grass on either side of the path around the lake.
- ECC is in talks with Tudor Oaks regarding the farm field. Results should be forthcoming. Expect an update at the annual Meeting.
ECC Standards
- ECC has full authority for mooring placement but needs to follow boat mooring request procedure approved in 2022. The board will not be involved moving forward.
- The ECC will make maintenance and contract decisions on behalf of the community.
- Maintenance decisions will be supported by contractor advice, community need, and highest and best use of funds.
- Contract decisions will be made with existing contractors based on cost and need.
- The ECC will ask for an advisory vote from the community on tasks that are not considered maintenance or contract decisions (ie: projects based on an individual’s preference and not backed by need or maintenance). The ECC will consider the results of the vote and input from contractors, if appropriate, before moving forward with a final decision.
- Maintenance decisions will be supported by contractor advice, community need, and highest and best use of funds.
- ECC members need to use the Lake Brittany emails.
